Privacy policy

Last updated 14 October 2026

This policy explains what personal data Phormulate Ltd collects when you use phormulate.net, how we use it, and the rights you have over it.

It covers this website only. PatientGroups.co and PatientGroups.ai have their own privacy policies, which you'll find on those sites.

Who we are

Phormulate Ltd is the controller of your personal data. We are a company registered in England and Wales, at 124 City Road, London EC1V 2NX. You can contact us about anything in this policy at hello@phormulate.net.

What we collect

When you use the contact form, we collect your name, email address, the subject and content of your message, and your phone number if you choose to give it.

When you browse the site, Google Analytics collects information about your visit: the pages you view, how you arrived, your browser and device type, and your approximate location. Google processes your IP address to do this.

Our hosting provider keeps standard server logs, which include IP addresses and the times pages were requested. These are used to keep the site running and secure.

How we use it

  • To reply to your enquiry and follow up on it. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract with you.
  • To understand how the site is used and improve it. Our lawful basis is our legitimate interest in running a useful website.
  • To keep the site secure and stop abuse, such as spam sent through the contact form.

We don't sell your personal data, and we don't use it for automated decision-making.

Who we share it with

We use a small number of service providers to run this site:

  • Telegram, which delivers contact form messages to our team.
  • Google, which provides Google Analytics.
  • Our hosting provider, which runs the servers this site is served from, located in Germany.

Some of these providers may process data outside the UK. We may also disclose personal data if the law requires us to.

Cookies

Google Analytics sets cookies (named _ga and _ga_*) to tell visits apart and to recognise returning visitors. They last for up to two years. The site sets no other cookies. You can block or delete cookies in your browser settings, and the site will still work.

How long we keep it

We keep contact form messages for as long as we need them to deal with your enquiry, and for no more than two years after our last contact with you. Google Analytics data is kept for no more than 14 months.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct data that is wrong or incomplete
  • ask us to delete your data
  • object to, or ask us to restrict, how we use your data
  • ask for your data in a portable format

To use any of these rights, email hello@phormulate.net. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to sort it out with you first.

If we change this policy, we'll update it on this page and change the date at the top.
